Draft a notice from a deficient finding
From an inspection with a deficient finding, the coordinator opens a structured notice draft. The form pulls site, contact, and finding details directly from the inspection, so there's no copy-and-paste between systems. The coordinator fills in any remaining specifics and saves the notice.
Printable notice letters
Notices generate a print-friendly letter for physical mailing. The output is a clean municipal-style document you can print, sign, and mail through your normal process. A copy of what was sent stays with the inspection record.
Configured email delivery
When direct email delivery is configured for a deployment, notices can be sent through that deployment's configured delivery service. NPDESTracker writes the outgoing message and records when it was sent. Direct email delivery is deployment-dependent and confirmed during setup. Delivery to the recipient's inbox depends on the recipient's email system; we do not guarantee receipt.
Reply logging on the inspection record
When a deployment includes direct email delivery and reply capture, reply records can be linked to the inspection that prompted the notice. Delivery and reply-capture availability is confirmed during setup, and behavior depends on the configured service and recipient mail system.
Escalation
If a finding is not corrected, the program can escalate from notice to a Notice of Violation (NOV). The NOV links back to the originating inspection and notice, and closure captures the final status, responsible party, and corrective action with timestamped attribution.
Audit chain
The audit chain is visible on the inspection thread: who drafted the notice, who sent it, when replies were logged, who escalated, and who closed. This is the documentation a regulator or city attorney expects to see, prepared as work is done, not reconstructed later.
