Draft a notice from a deficient finding

From an inspection with a deficient finding, the coordinator opens a structured notice draft. The form pulls site, contact, and finding details directly from the inspection, so there's no copy-and-paste between systems. The coordinator fills in any remaining specifics and saves the notice.

Printable notice letters

Notices generate a print-friendly letter for physical mailing. The output is a clean municipal-style document you can print, sign, and mail through your normal process. A copy of what was sent stays with the inspection record.

Emailed notices

When email is configured, notices can be sent via Postmark-backed delivery. NPDESTracker writes the outgoing message and records when it was sent. Delivery to the recipient's inbox depends on the recipient's email system; we do not guarantee receipt.

Reply logging on the inspection record

Replies to emailed notices are logged on the inspection record that prompted the notice. The full correspondence history (initial notice, replies, follow-ups) stays in one place, so the next coordinator who picks up the file does not have to dig through a shared inbox.

Escalation

If a finding is not corrected, the program can escalate from notice to a Notice of Violation (NOV). The NOV links back to the originating inspection and notice, and closure captures the final status, responsible party, and corrective action with timestamped attribution.

Audit chain

The audit chain is visible on the inspection thread: who drafted the notice, who sent it, when replies were logged, who escalated, and who closed. This is the documentation a regulator or city attorney expects to see, prepared as work is done, not reconstructed later.
